What "Know Your Customer" means
Know Your Customer (KYC) is the standard process by which a financial service confirms that a client is a real, identifiable person, and that the information provided at registration is accurate.
In practice, KYC at Smart ERP Return programme means we collect and confirm a small set of basic facts about you: your full legal name, your date of birth, your country of residence, your contact details and the payment method you intend to use. We compare the details you typed into the sign-up form with the details shown on the documents you upload.
What we do not do
We will never solicit your internet banking credentials, complete card PIN, or device access permissions. No staff member will ever ask for any of these. Should you receive such a request, it is fraudulent and must be reported via the abuse reporting mechanism.
Why a check can be rejected
A denial customarily reflects a documentation issue, rather than a judgment of your character. The majority of denials are resolved by resubmitting materials, with approval granted on the subsequent review.
| Reason | How to fix it |
|---|---|
| Image blurred, cropped or glare-covered | Re-shoot in daylight, flat on a dark surface, all four corners visible. |
| Document expired | Upload a currently valid document. |
| Cardholder name or date of birth differs from registered account information | Correct the account details, or explain a legal name change with supporting proof. |
| Proof of address too old or not in your name | Provide a recent qualifying document issued to you at your registered address. |
| Payment method belongs to a third party | Use an instrument in your own name - third-party funding is not accepted. |
| Photograph shows signs of alteration, portions removed to conceal information, or digital screen recording rather than physical document | Submit an unmodified original image or PDF. |
| Residence in an excluded jurisdiction | The account cannot be opened; see our licensing page for the general position. |
If a decision is unclear to you, contact support and ask for the reason. Where the law permits us to explain, we will.
Ongoing transaction monitoring
Verification is not a one-time event. Accounts and transactions are monitored for as long as the relationship lasts.
What is monitored
Funding and withdrawal patterns, changes of payment instrument, changes of country or contact details, activity that does not match the profile you gave at sign-up, and any activity flagged by our screening tools.
What can happen as a result
- A request for refreshed documents or an explanation of the source of funds.
- A temporary hold on a specific transaction while it is reviewed.
- Adjustment of the limits published in your account.
- Restriction or closure of the account where the law requires it.
Records
Identification data and transaction records are retained for the period required by applicable law after the relationship ends, and are handled in line with our Privacy Policy. In certain circumstances the law prevents us from telling a client that a report has been made.
Your obligations
- Supply truthful, current and thorough particulars, and maintain their accuracy.
- Utilize exclusively your personal capital and your own registered payment methods - do not employ resources belonging to third parties.
- Keep one account only, and keep your credentials private.
- Reply to identity verification requests before the deadline communicated in the notice.
- Tell us promptly if you change country of residence, legal name or payment method.
- Contact us without delay if you suspect any unauthorized or fraudulent access to your account.
Submitting falsified or altered documents is a serious matter. It leads to closure of the account and, where applicable law requires, notification of the competent authority.
Why verification is required
- 01
Legal obligation
Services that hold or transmit client funds are generally required to identify their clients before providing the service. This is not optional and applies to every account without exception.
- 02
Protecting your money
Account verification binds your account to a single verified individual. This substantially reduces the risk of unauthorized account access, and ensures that all withdrawal payments are directed exclusively to payment methods you have previously validated.
- 03
Keeping the platform clean
Screening keeps sanctioned parties and anonymous shell activity off the platform, which protects every other client using it.
- 04
Faster payouts later
An account verified up front does not have to stop for checks at withdrawal time, which is when delays are least welcome.
The verification steps
- 01
Register
Establish your account using your authentic legal name, birth date, nation of residence, email address and mobile number. Discrepancies between your submitted details and official documents represent the leading source of processing delays.
- 02
Confirm contact details
Confirm your email address and, where requested, your phone number. This proves the contact channels belong to you.
- 03
Upload your identity document
Submit the sections displaying your likeness and identifying information. Certain procedures incorporate a brief identity confirmation or selfie component to authenticate that the document's owner is the account holder.
- 04
Upload proof of address
Upload a recent qualifying document in your name at the address on file.
- 05
Confirm the payment method
Submit authentication of the payment source for both account funding and withdrawal disbursement.
- 06
Screening and review
The compliance division examines your documentation, executes obligatory regulatory and risk assessments, and either activates the account or requests additional documentation.
- 07
Confirmation
You will be alerted upon any modification to your account status. Your account's verification status remains accessible in the verification module at all times.
How long a check takes
Most complete submissions are reviewed within a few hours to a couple of business days. Files that need a second look, a translation or an additional document can take longer.
Review times depend on volume, on the quality of the uploads and on whether any additional screening is triggered. The processing window that applies to your account, together with the current status of each document, is shown in your account area - that published figure is the one to rely on, not any figure quoted elsewhere.
- Legible, thorough, unaltered submissions are processed in the shortest timeframe.
- Applications received outside standard operating hours will be processed during the subsequent business day.
- Thorough examination, when necessary, requires additional processing duration and will be communicated to you.
Which documents are accepted
We ask for up to three categories of document. Files should be colour images or PDFs, fully in frame, unedited, with all four corners and all text legible.
1. Identity document
An official identity document bearing your photograph, complete name, birth date, identification number and validity expiration. Widely recognized documents include a passport, state-issued identity card, or photographic driving licence. The document must remain current and within its validity period.
2. Proof of address
A current statement or official notice, normally dated within the preceding months, that displays both your name and the residential address registered with your account. Common examples include a utility bill, financial institution statement, property tax documentation, or official correspondence from a government body. Alternative addresses such as postal boxes or addresses registered under other parties are not admissible.
3. Proof of payment method
Confirmation of your ownership of the payment source. For credit or debit cards, this typically comprises a photograph displaying your name, the opening six digits and closing four digits, and the validity date, with intermediate digits and CVV obscured. For bank transfers, documentation or receipt bearing your name and listing the account number is required. For digital payment services, an account screenshot displaying your name and service account identifier is necessary.
Formats and file size
Upload limits, accepted file types and any additional document requests are shown in the verification area of your account. Documents in a language other than the account language may require a translation; the compliance team will tell you if that applies.
What "anti-money laundering" means
Anti-money laundering (AML) is the set of internal controls a financial service uses to prevent its platform from being used to move the proceeds of crime, to finance illegal activity, or to disguise the true origin of funds.
AML controls are broader than a one-off identity check. They cover risk classification of new accounts, sanctions and politically-exposed-person screening, limits on unusual funding patterns, record keeping, internal escalation of suspicious activity and, where the applicable law requires it, reporting to the competent authority.
Where AML rules and a client instruction conflict, the AML rules take priority. That can mean a delayed transaction, a request for additional documents, or a restricted account until the matter is resolved.
Where to ask questions
If any element of this information is ambiguous, or if you require clarification regarding your verification status, contact us prior to making additional submissions.
Who reviews my documents?
A trained compliance reviewer. Files are stored on restricted systems, and access is limited to staff who need it for the check.
Can I start before I am verified?
You can register and explore the account, but funding, trading and withdrawals depend on the verification status published in your account.
Do I have to verify again later?
It is possible. Credentials have expiration dates, residential situations evolve, and periodic revalidation is standard procedure under anti-money-laundering regulations. We will notify you should a revalidation be necessary.
How do I contact the compliance team?
Use the contact route on our contact page and mention "KYC" or "verification" in your message, together with the email address on your account. Please do not send document images by unsecured channels - upload them in the account area instead.
Get verified once, cleanly
The vast majority of processing delays stem from three recurring issues: insufficient photograph clarity, expired address documentation, and payment methods registered under another individual's name. Addressing these typically results in first-submission approval.
Need help with a document?
Our customer support specialists can identify the precise reason for any file rejection and which document was declined.
- Before proceeding, please review the verification section within your account.
- Then contact support with your registered email address.
